The Royal Opera House achieves significant savings and efficiencies on their FM contract

The requirement

The Royal Opera House was looking to retender the facilities management services, within their portfolio, ranging from cleaning, premises security to engineering and maintenance services. Through a rigorous tendering exercise The Royal Opera House recognised the breadth of services ESPO offered and subsequently appointed ESPO to conduct their procurement across a number of the organisation’s buildings.

Being responsible for a number of sites, it was understood that further savings and efficiencies would be gained by encompassing all of their sites under one contract; it was imperative that the appointed contractor would cover the iconic Covent Garden site, Aberdare Scenery Store and the Thurrock based Royal Opera House Bob and Tamar Manoukian Production Workshop and Costume Centre.

The Royal Opera House had a number of objectives including appointing an established, competent Facilities  Management contractor who could provide a continuation of their facilities management service, securing value for money and to enhance the coverage of their current facilities management offering including the Main House, Costume Centre, Production Workshop and Aberdare.

The solution

Following consultation - The Royal Opera House provided ESPO with specifications, and ESPO formulated a  comprehensible procurement strategy.

Naturally a contract of this profile, prestige and value generated much interest, after issuing a Pre-Qualification Questionnaire (PQQ), five suppliers were shortlisted and invited to tender for the contract. ESPO developed a comprehensive tender pack which included tender documents, TUPE information, pricing schedules, method statements, specification schedules, KPI schedules and terms and conditions.

The shortlisted suppliers were invited to a site visit, which allowed them to fully ascertain the contract requirements and comprehend the size of the contract. ESPO evaluated tender submissions and provided The Royal Opera House with a report outlining our recommendations.

The results

The Royal Opera House has appointed a contractor to provide a continuation of their facilities management services; and the objectives stated prior to appointing ESPO have all been met.

By ESPO conducting the procurement process, The Royal Opera House achieved significant savings and efficiencies to their FM contract.
